How To Delete a Document Uploaded in The Web (Version 7.3)

On the same screen you would add a file you can also remove/delete it. On the document screen menu option click on the Actions drop-down menu after selecting the file you wish to remove: Then click Delete :

Adding a document file to an expense claim in the Web

  Time to time you get a user asking how to add a document file to their expense claim in the Web environment. If they have the permission to do that (will be discussed further on another post) the following steps will help guide them through (screenshots below from version 7.3): 1.       1 -  Go back to the expense in question 2.       2 -  Click on the paper clip icon on the right side of the screen 1.       3 -  Click Add a Document      4 -  Make sure you choose from the right Document Type option 3.       5 -  Upload your file 4.       6 -   Add description is optional 5.       7 -  Now close that window and save the expense.

How To Approve An Expense In Agresso

  When a user submits an expense claim their line manager will get an email alerting of a task for them to approve in the Agresso. If there is something to approve, under workflow tasks you will see ‘Line Manager Expenses  Approval’ . Click on it to open the approval screen. You shall see all the expenses that are waiting for your approval. Have a look at each expense item and detail  by clicking on them. To approve it you can press approve , otherwise you can reject it and add a  comment.

How To Check Your Expenses Claim Status

Select My Expenses  from the Expenses  menu, when you load the screen should show all your expenses claims line by line. On your result screen you should see the following options: Add to shortcuts:  Will add a link to this report on homepage. Copy to clipboard:  You can copy the results to an excel spreadsheet. Choose Column: You can filter which columns you want to see in your results. Detail Level: View all details or just the subtotal. Workflow Status:  There are 4 status:  Workflow in progress -   Your expense is submitted as ready and it's on the workflow and it is waiting for approval. Finished - Your expense has been fully approved. It is blank - You left your expense in the draft form. Rejected - It was rejected by the approver.

How To Attach Documents/Receipts To Your Expense Claim

 Now that you have input your expense you might be requested by your Accounts Payable team to attach your receipt to your claim. If you do that electronically please try checking the step by steo below:  Click on "Upload Receipts" found in the Expenses overview area      2. Click on "Receipts"     3. Add the document you want to attach     4. Click on "Upload Receipts"      5. The receipts need to be matched to the relevant line in your expense claim, otherwise the approver will not be able to see them. For that click on "Matched".

How To Re-Open An Expense

Sometimes especially when the day is really busy you might start your expense claim in Agresso and decide to save it as a draft  so you can continue it later. The thing is, you are not so sure how to get back to it! For that please follow the step by step guide below: Click on "Expense" Then click  "Open" Enter the "Transaction Number" (your expense claim reference number), tab out and your expense will be reloaded.

So now you need to claim your expenses in Agresso and cannot remember how to even start it! No worries. Check the tips below: Select the Expenses Menu Select " Expenses " again. 1st Tab: " General " If the claim is saved as Draft status it will not go on the workflow for approval. S o before submitting your claim for approval, change it to " Ready ". " Travel Type ": Choose from the drop-down menu. If you don’t have an option or something is  missing, please let the Agresso team know and they will update your profile.  " Purpose ": You have to specify the type of claim and the time it relates to. How To Print My Own Expenses

 Sometimes (specially when you are new employee in your company and only use Agresso to raise expenses) you get a bit confused on how to print the expense claim you have just made.  So before you panick and send an email or give a call to the Agresso Team in your company, please try the following step by step on how to do it: Log in to your Agresso Account. Click on Expenses Then Expenses again You will need to click on the Open button and then insert the number of the expense you want to bring back to the screen Tab out of the field and it should show your expense again. Now click on Print Preview to bring the expense on a PDF format and you should be able to print it. PS: If for some reason it still does not open your pdf it might be the version of Agresso/ Unit4 you are using. For that, usually the problem is with the browser you opened Agresso in. Some of the Agresso versions have a preference for Internet Explorer instead of Chrome or Firefox.
